Corporate social responsibility (CSR) policy

Kelyfos Hotel is located on the second peninsula of Chalkidiki, built according to traditional Greek architecture with a stunning sea view. Our mission is to offer unforgettable holidays to our customers, respecting their wishes and taking advantage of the area’s beautiful natural landscape that can provide a variety of sports activities. Taking into account the data of modern times, we set as a prerequisite the establishment of the following principles that govern the movement of the Company to contribute to the protection of the environment, respect for human rights and sustainability.

This statement applies to all employees, including temporary workers, foreign workers, apprentices, students, contract workers and all other types of employees. This statement also applies to all suppliers who provide goods and services to the hotel business.

The document comprises the following five sections: Labour Standards, Health and Safety, Environmental Protection, Business Ethics and Management Systems.

1 Working standards

1.1 Voluntary non-coerced employment

We ensure that all our employees are employed of their own free will and desire. We do not use any form of slavery (including all forms of modern slavery), forced labour, bonded labour, or indentured labour. Suppliers shall not restrict the freedom of movement of workers, maintain original employee identification documents or engage in any form of human trafficking. This includes the transportation, harbouring, recruitment, transfer, or receipt of persons using threats, force, coercion, abduction, or fraud for work or services. Workers should not be required to pay recruitment or other fees to employers or their agents.

1.2 Child labour and young workers
  1. The Company and suppliers must comply with all applicable laws and regulations in their country regarding the minimum working age and must not use child labour in any form.
  2. The enterprise and suppliers must implement an appropriate mechanism to verify the age of workers at the time of recruitment. Workers under 18 should not perform work that may endanger their health or safety.
  3. The business and suppliers must ensure appropriate student workers and apprentices protection, following applicable laws and regulations.
1.3 Working hours

We follow all applicable laws and regulations regarding working hours and breaks. All overtime must be voluntary. Following national legislation, a typical working week (excluding overtime) must be defined. Workers must have at least one day off after every six consecutive days of work.

1.4 Wages and benefits

Compensation paid to employees must comply with all applicable wage laws, including those related to minimum wages, overtime and legally mandated benefits. Suppliers must pay salaries to their employees in full and on time, and employees must have clear employment contracts.

1.5 Treatment of People

The Company shall not engage in any act of violence, including verbal abuse, threats, corporal punishment, sexual harassment, physical coercion, unlawful physical searches or physical searches against gender workers, nor is there a risk of such treatment.

1.6 Equal treatment

The Company and suppliers shall not discriminate based on race, colour, age, sex, sexual orientation, gender identity and expression, nationality or national origin, disability, pregnancy, religion, political opinion, membership in an organisation, protected genetic information, or marital status. The above should not affect recruitment and employment practices such as salaries, promotions, rewards, access to training or dismissal. In addition, employees or potential employees should not be subjected to medical or physical examinations that could be used in a discriminatory manner.

1.7 Right to Organise Associations

By national legislation, the Company and suppliers must respect the right of all workers to form and join trade unions of their choice, bargain collectively and participate in peaceful assembly, and respect workers’ right to refrain from such activities. Workers and their representatives must be able to communicate openly and share ideas and concerns with management about working conditions and management practices without fear of discrimination, retaliation, intimidation, or harassment.

2 Health and Safety

The Company and Suppliers must provide a healthy, safe working environment. Working conditions that endanger the safety or health of employees are prohibited. Fire and explosion hazards must be controlled and specific measures must be taken to prevent any fatalities and occupational diseases arising from, related to or occurring during work, such as epidemics caused by infectious diseases.

2.1 Working conditions
  1. The Company and suppliers must obtain, maintain and keep up to date all required health and safety permits and comply with such licenses’ requirements.
  2. The Company and suppliers should identify potential health and safety hazards (e.g. fire safety, industrial hygiene, physically demanding work and machine protection) and reduce or eliminate these hazards through risk elimination, risk substitution, engineering controls, preventive maintenance and safe work procedures. Where necessary, workers must be provided with appropriate personal protective equipment. They must also take reasonable measures to protect workers, particularly pregnant women and nursing mothers.
  3. Procedures and systems must be in place for the prevention, management, monitoring and reporting of occupational injuries and illnesses, including provisions for corrective action to eliminate their causes and to facilitate workers’ return to work.
  4. Workers must receive appropriate health and safety training in the local language or languages. Health and safety information must be clearly displayed in the establishment.
2.2 Living conditions

Workers must have ready access to clean toilet facilities, drinking water and facilities to prepare and store food and foodstuffs. Workers’ dormitories must be kept clean and safe.

2.3 Emergency preparedness

Potential emergencies and incidents should be identified and assessed, including fire risk, explosion, fatal accidents and mass poisoning. Suppliers must implement emergency plans and response procedures, such as emergency reporting, emergency response, employee notification and evacuation procedures, employee training and drills, and recovery plans. Such programs and policies should minimise physical harm to the environment and property.

2.4 Everlasting rules

To ensure safety rules are enforced, training on compliance is provided to all employees and the following are monitored:

Working at height:

  • Never work at height without proper training and physical ability
  • Always use appropriate personal protective equipment
  • Never walk or stand under suspended loads
  • Never drop tools or other objects when working at a height

Driving:

  • Always wear seat belts, either as a driver or as a passenger
  • Never use a hand-held telephone while driving
  • Never exceed speed limits
  • Never drive while tired

Electrical work:

  • Never perform electrical work without proper professional competence.

Do not use alcohol and drugs:

  • Never work under the influence of alcohol or other drugs

 

3 Protection of the Environment

 

3.1 Environmental permits and reports

All required environmental permits, approvals, and registrations must be obtained to keep them up to date and meet their operational and reporting requirements.

3.2 Environmental requirements for products

Suppliers must comply with all applicable laws and regulations regarding the prohibition or restriction of specific substances, such as Restriction of Hazardous Substances (RoHS) and Registration, Evaluation, Authorization, and Restriction of Chemicals (REACH), and take adequate measures to prohibit or restrict the use of specific substances in products and manufacturing.

3.3 Pollution prevention

We comply with all applicable environmental laws and regulations regarding pollutants. We work based on the belief that emissions of contaminants should be minimised or eliminated at source. No poisonous or harmful contaminants may be released into the environment, and measures must be taken to prevent noise pollution. Our suppliers are evaluated and selected based on, among other things, environmental criteria.

3.4 Energy Saving and Emission Reduction

We take measures to minimise the use of resources, find low-impact substitutes, reduce the consumption of energy, water and natural resources and minimise greenhouse gas emissions.

4 Business Ethics

4.1 Integrity

We condemn any involvement in corruption or unethical behaviour. Suppliers must prohibit all forms of bribery, gift giving, conflict of interest, forgery, short selling and fraud and adhere to all contractual obligations and commitments.

4.2 Healthy Competition

Standards of healthy competition must be observed through modern promotional and advertising tools.

4.3 Protecting the identity of the complainant

Programs to ensure the confidentiality, anonymity, and protection of supplier and employee whistleblowers must be maintained and administered by the Act. Suppliers must have a notified process so their employees can raise concerns without fear of retaliation.

4.4 Confidentiality

We protect the reasonable expectations of privacy of personal information of all customers and trading parties, including suppliers and employees. Suppliers must comply with privacy and information security laws and regulatory requirements when personal information is collected, stored, processed, transmitted and disclosed.

5 Management Systems

5.1 Corporate commitment, accountability and management responsibility

We are committed through this document and related Corporate Social Responsibility Policy statements, confirming our obligation to comply with all applicable laws, industry standards, customer requirements and continuous improvement.

We have appointed a senior executive responsible for Corporate Social Responsibility. Suppliers must realize that CSR is part of business management, establish internal evaluation and accountability mechanisms, integrate CSR into corporate operations, accept on-site customer audits and disclose information upon request.

5.2 Risk Assessment and Risk Management

We identify CSR risks and opportunities related to the operation of our business and by applicable legislation, industry standards, customer requirements, this Code and strategic needs. Appropriate measures are taken to control and mitigate identified risks.

5.3 Supplier management

The present Code, as part of the partnership assessment, is communicated to our prospective and existing suppliers, and it is a prerequisite that they adopt the practices it prescribes. The cooperation with our suppliers includes additional written commitments, certification criteria and, when necessary, regular audits.

5.4 Internal Audit

Our Company regularly evaluates the performance of the Corporate Social Responsibility Management System to ensure its appropriateness, adequacy and effectiveness.
